What a calendar event QR code holds
A calendar event QR code carries a short block of text in the iCalendar format, the same standard behind .ics files. The block starts with BEGIN:VCALENDAR and BEGIN:VEVENT, lists the event fields and closes with the matching END lines. A phone camera or scanner app that recognizes the format can offer to save the event, so the person keeps it in their own calendar.
Each field sits under a fixed property name: SUMMARY for the title, DTSTART for the start, DTEND for the end, LOCATION for the place and DESCRIPTION for the notes. The generator converts the start and end you enter into UTC, which is why the times end with a Z. Commas and semicolons inside the text are escaped, and line breaks in the description are written as line breaks the reader can restore, so the notes arrive intact.
The code is static. The event sits inside the image, nothing is sent to a server, and the code cannot be edited once it is printed. It does not send invitations, guest lists or reminders, and it has no repeat rule, so a weekly class needs one code for each date. Those limits belong to the format itself, not to the generator.

Fill in the event fields
Type the Title and set Starts to the day and time the event begins. Set Ends when you know the finish, and add a Location and a Description for details such as a dress code or a room number. Only Title and Starts are required. Without an end time, the phone chooses how long the event lasts.

Check the time zone on your device
The editor reads the Starts and Ends values in the time zone your browser uses, then stores them in UTC. Before you type the times, check that the clock on your computer or phone is set to the event's time zone, because a wrong zone moves the whole event by hours.

Scan the preview, then download
Scan the preview with a phone that does not already have the event. Check that the phone offers to save it and that the title, date and place look right. When they do, download an SVG for print or a PNG for a slide or a badge.

Tips for a calendar event code people can use
- Use the name people know
- The title becomes the name of the entry in the calendar, so use the event's usual name and skip extra words. "Rehearsal" reads better in a calendar list than "Thursday rehearsal, bring the folder".
- Give an end time when you can
- Without an end, the phone decides the length, and an entry for a two-hour workshop may not match the real schedule. Fill in Ends whenever the finish time is known.
- Keep the description short
- A few lines of notes are enough. Long descriptions add more data to the code, which makes the pattern denser and harder to read from a distance. Put long material on a web page and say where to find it.
- Make a new code when the date moves
- The code keeps the date that was entered, so a moved event needs a new code while the printed one keeps the old time. Save the Title, Starts and Ends values in a note, so the replacement takes only a minute.

Why are the times stored in UTC?
UTC has no daylight saving changes, so one reference time works for every reader. The generator converts the local time you enter into that form before it draws the code, and each phone then shows the event in its own zone.
Will the event be added without the person's permission?
No. The phone shows the event and waits for the person to save it. A QR code cannot write into a calendar by itself.
Can the code hold guests, reminders or a repeating schedule?
No. It holds one event with a title, times, a place and notes. It has no attendee list, no alarm and no recurrence rule, so a weekly class needs a code for each date or a description that points to the full timetable.
Can I count how many people saved the event?
Not with a static code, which contains no link. Dynamic codes count scans, but they only redirect to web, phone, text, email, map or FaceTime addresses, so calendar data cannot be a dynamic target.
Why does my phone not offer to save the event?
Some older scanner apps only show the raw text. Try the phone's own camera first, and make sure the printed code has a clear margin of empty space around it, which the quiet zone setting controls.
